Q. What are the benefits of BidGenius over the other web based solutions available in the market ?
A. When you use BidGenius, your data is on your own computer. You have total control on security and privacy of your data whereas it is not the same case for web based solutions. In web based solutions, your data is on third party's server and you may not know who access your data. For your business, data security and privacy is very important.
In BidGenius, you can see the real time instant faxing to your subcontractors and there is no time delay whereas in web based solutions, there is some time delay depending on server load .

Also, You can fax/ email other Bid Documents like Addendums, Bid Requests, Memos, Reminder Memos etc in just one click. You can upload project plans and specifications on Bid Room Server.Your subcontractors can download plans and specification right from there. You do not need to send copies of plans and specifications to your subcontractors.
Q. Can I Fax / E-mail ITB(s) or Addendums directly from BidGenius software?
A. Yes, BidGenius has fax and E-mail broadcasting feature in-built. The Bid Documents like ITBs, Bid Requests, Addendums, Memos, Reminder Memos etc. can be sent by fax/ Email to all subcontractors in just one click. In order to schedule faxes, all users in network do not require to have Fax Modem installed in their computer. The independent software "Bid Genius Fax Server" comes with BidGenius software and it can be installed in any one computer(with fax modem) of your network. BidGenius Fax Server will take care of the faxes scheduled by all users.
Q. How to configure Fax Modem for BidGenius and start BidGenius Fax Server ?
A. Run bgfaxserver.exe on the computer of your network, where you have Fax Modem installed. Click on big button "Configure Fax Modem" and then click on "Auto Detect". The installed Fax Modem will be detected automatically and you can see device entry added to the grid. To start BidGenius Fax Server, Click on big button "Fax Log" and then click on button "Start Server". The faxes scheduled by all users will be displayed in "Ready to Fax" tab. The faxes already been scheduled will be displayed in "Scheduled Faxes" tab. Please note that, no fax will be sent until you start BidGenius Fax Server. It should be running all the time in order to send faxes.
Q. How can I print address labels for particular job?
A. Once you have entered ITB responses, BidGenius will prepare BidRequest for bid package. It also generates subcontractors' dbf file which can be used to print address labels with the help of third party tools like Avery wizard.
Q. I want to send Invitation To Bid to all subcontractors. How to prepare ITB(s)?
A. After entering project trades and subcontractors, in menu options Report-->Invitation To Bid ( ITB), click on "Auto Generate ITB" Button. BidGenius will generate ITBs for all subcontractors automatically. Then, Click on Fax/Email button to send l ITBs. Depending on your subcontractors preference, BidGenius will fax or Email or Fax & Email both. BidGenius Fax Server should be running and it will take care of the faxes scheduled by all users.
Q. Is the web feature like publishing plans, specifications, addendum on website included ?
Yes, the Bid Room feature is included in this version. You can upload your project plans, specification, addendums on this Bid Room right from BidGenius. You only need to provide web link to your subcontractor in order to allow them to download your project plans, specifications, addendums from Bid Room. Q. What is Bid Request? How to prepare it ?
A. Bid Request is a Bid Document to be sent with plans & Specifications (Bid Package) to subcontractors. Once you have entered Specifications and Drawings data, in menu options Report-->Bid Request, click on "Auto Generate Bid Req." Button. BidGenius will prepare BidRequests for bid package automatically.
Q. I want to send Fax to one subcontractor. How can I prepare Fax Cover Sheet?
A. Click Menu options : Bid Documents--> Fax Cover Sheet, click on Add button and enter you data for fax cover sheet. Here, you can attach documents defined in project documents. Here, you can preview or print or fax coversheet from the same screen.
Q. How can I track the status of sending drawings to subcontractors ?
A. After sending ITBs to subcontractors, enter ITB responses i.e. Interested, Send Plans, Not Innterested, Has Plans. When you send drawings, you should update status in Project Entry-=>Plan Send Status Entry. It will show you the list of all subcontractors who requested to send plans. Once you send click on "Sent?" column. It will stamp time and date for that subcontractor and that subcontractor will be out from the pending list.You can print the detailed report from the menu option : Reports => Status Report of Plan/Specs to Subs.
Q. Which reports are frequently used for finalizing of Bid?
A. Tradewise Subcontractor's Details and Trade wise Subcontractor's Proposal ( format-1) reports are used to prepare bid book. Put these reports in front of each trade proposals.Trade wise Subcontgractor's Proposal ( format-2 checklist) is very useful when you discuss a bid. This report includes all price summary in 2-4 sheets and very useful for reviewing bid. Bid Estimate Report is also frequently used to finalize bid. General Condition Report is useful to finalize G.C. amount.
Q. I want to enter base bid and alternate prices. Where is entry for alternate price ?
A. You can enter Base Bid and Alternate prices in Project Entry=> Subcontractor's Proposal Entry. When you create a project, you have to define number of alternates in your project. If you forgot, then you won't see alternate price column in proposal entry. You may enter it in Masters=>Projects.
Q. Can I get any such report which can help me finding subcontractors bidding more frequently in order to keep our vendor list upto date ?
A. Subcontractors' Bidding Analysis reports are included in BidGenius, which can help you in identifying which subcontractors are bidding more frequently and who are not. You can get such analysis tradewise for a given bid due date period.
