Q. What are the benefits of BidGenius over the other web based solutions available in the market ?
A. When you use BidGenius, your data is on your own computer. You have total control on security and privacy of your data whereas it is not the same case for web based solutions. In web based solutions, your data is on third party's server and you may not know who access your data. For your business, data security and privacy is very important.
In BidGenius, you can see the real time instant faxing to your subcontractors and there is no time delay whereas in web based solutions, there is some time delay depending on server load .
When you send faxes/ Emails using BidGenius, there is no charge per page/ Email. Once you have BidGenius, it's all yours. Some web based solutions charge you per page and/or monthly.
Q. What are the hardware/ software requirement for running BidGenius?
A. The minimum requirement for running BidGenius is,

Q. How does BidGenius Licensing work ?
A. Licensing is based on “ concurrent users”, meaning if you purchase three licenses, you may install BidGenius on as many workstations as you want. But, only three users can use BidGenius at one time from any workstation.
Q. What do I get when I buy BidGenius?
A. We will send you BidGenius Installation CD with instructions, User Manual and USB Licensing key
Q. When will BidGenius be delivered after the placement of Order?
A. BidGenius usually ships next business day by USPS Priority Mail. For Express Delivery, please call us to find out shipping charges and method of payment
Q. Can my Subcontractor data be imported into BidGenius? What format would you need the subcontractor information in? Can I have one subcontractor with multiple contacts and under multiple scopes of work ?
A. You can provide subcontractor information in excel spreadsheet or CSV format or MS Access database. One subcontractor can have multiple scopes of work and multiple contacts.
You need to provide the following information.
1. Subcontractor company name, contact person, address, city, state, zip, phone number, fax number, mobile, pager number, email
2. Trade Details for each subcontractor ( Scope of work or CSI Code)
3. Trade Master ( Trade Id/ CSI Code and it's description)
If you do not provide us the details listed in No.2 and 3, you will have our standard Trade Master ( CSI Code Masters) loaded in BidGenius.
Q. Does BidGenius work on a Network? Can several users work on the same project at the same time?
A. If you buy multi-user version of BidGenius (e.g. 3 users/ 5 Users), it will work on a network and multiple users can work in the same project/ different projects in BidGenius at the same time. BidGenius Single user can be used on any one PC. The number of users working is limited by the user license purchased by you.
Q. How does BidGenius help in saving time, labor and cost?
A. Once you have created a project and entered all drawings, specifications & subcontractors data, Invitation To Bid (ITBs) for all subcontractors can be generated automatically and these ITBs can be Fax/ Email to all subcontractors in just one click. Also, You can fax/ email other Bid Documents like Addendums, Bid Requests, Memos, Reminder Memos etc in just one click. You can upload project plans and specifications on Bid Room Server.Your subcontractors can download plans and specification right from there. You do not need to send copies of plans and specifications to your subcontractors.
Q. Can I Fax / E-mail ITB(s) or Addendums directly from BidGenius software?
A. Yes, BidGenius has fax and E-mail broadcasting feature in-built. The Bid Documents like ITBs, Bid Requests, Addendums, Memos, Reminder Memos etc. can be sent by fax/ Email to all subcontractors in just one click. In order to schedule faxes, all users in network do not require to have Fax Modem installed in their computer. The independent software "Bid Genius Fax Server" comes with BidGenius software and it can be installed in any one computer(with fax modem) of your network. BidGenius Fax Server will take care of the faxes scheduled by all users.
Q. Is any other program required to fax/ email bid documents?
A. No. BidGenius has everything built-in. No other third party software program(s) needs to be installed in order to send out your project bid documents by fax/ email.
Q. Which Fax Modem cards/ board are supported by BidGenius?
A. All fax modem cards that support the industry standard class 1/2/2.0 faxing are supported by BidGenius.
Q. How many modems can be connected?
A. Any number of modems can be connected. BGFaxServer (which comes with BidGenius) will detect all the connected Fax Modems automatically when you click on <Auto Detect>
Q. Can I view the fax before sending to ensure that the correct file is attached?
A. Yes. BGFaxServer application provides the facility to view faxes. Stop the server and schedule the faxes. You will see those scheduled faxes in the <Ready To Send> tab. Put your cursor on the fax which you want to view and then click on <View Fax>. It will show you fax and attachments (if any). After you review it, you can start the BGFaxServer to send out the scheduled faxes.
Q. How do I resend failed faxes?
A. In Bgfaxserver application, click on Scheduled faxes tab, select the faxes which you want to re-send, click on Re-Send and then start Server. To view the fax, put your cursor on the fax you want to see and click on View fax Button.
Q. Can a client see the status of the faxes without having to use the server?
A. Fax Log is automatically updated after appx. every 30 seconds when the fax status changes. From the BidGenius client, click on File->Fax Log, you will be able to see the fax status without going to BGFaxServer. The status of the log is refreshed every 30 seconds.

A. Yes, the Bid Room feature is included in BidGenius with Annual Subscription. You can upload your project plans, specifications, addendums on the Bid Room created for your company right from BidGenius. The Bid Room url will be created automatically on your ITB/ Bid Request which your subcontractors can use to download your project plans, specifications, addendums from your Bid Room.
Q. How much web space will be allotted in our assigned Bid Room?
A. You can upload unlimited number of projects/ files on your assigned bid room. There is no space limitation.
Q. Is the Bid Room accessible to all subcontractors? Do they have to register? What do they have to pay? What do we pay for the Bid Room?
A. The Bid Room utility is available to you if you have taken the yearly subscription. There is no registration process for either you or your subcontractors. Similarly, there is no payment to be done either by you or subcontractor for using the Bid Room.
Q. Can our company logo be included in the bid documents which we send out by fax/ email?
A. Yes, your company logo image file can be set in BidGenius and it will be printed on your bid documents like ITB/ Bid Request/ Addendum/ Memo/ Transmittal/ Fax Cover Sheet
Q. Is the CSI Code listing user definable?
A. Yes. You can add/modify/delete the CSI listing as per your requirement.
Q. Can we change / edit the layout of reports?
A. The format/ layout of the reports are fixed. Although the format of the reports cannot be changed, you can add your own contents. You can create your own template for all Bid Documents, ITBs, Addendums, Memo, Reminder Memo, Transmittal, Bid Request, and use that template while printing/faxing/emailing.
Q. Do we have to click separately to fax and email an ITB out to subcontractors who have both as a receiving preference?
A. No, clicking on the <Fax & Email> button sends both an email and fax to the subcontractor if the preference is set to both as a receiving preference.
Q. Can I get any such report which can help me finding subcontractors bidding more frequently in order to keep our vendor list upto date ?
A. Subcontractors' Bidding Analysis reports are included in BidGenius, which can help you in identifying which subcontractors are bidding more frequently and who are not. You can get such analysis trade wise for a given bid due date period.
Q. What process do you have to evaluate and implement suggestions?
A. Yes, we have that process in place. If you have any suggestions/ needs, please send us your suggestions/ needs with detailed description. Also, let us know why you need this change and how it will helpful to you. Once we receive your request, we will forward it to our development team for review. If your suggestions/ needs are feasible in our system and useful to everybody, we will do that modification and release it in coming updates. There will not be any additional charge for you. Incase, we think that your requirement is very specific, we will let you know estimated charge and time to complete.
